Temporary Human Resources Assistant

General Summary of Duties: The Human Resource Assistant will perform administrative tasks and services to support effective and efficient operations of the organizations human resource department.

Supervisory Responsibilities: None

Major Responsibilities/Tasks:
  • Performs customer service functions by answering frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate HR staff or management. Manages HR Conference room schedule.
  • Maintains a positive, professional image and demeanor when dealing with members of the public, visitors, and other employees. Makes photocopies, scans, and emails documents as needed.
  • Responsible for maintaining accurate and up-to-date human resource files, records, and documentation.
  • Collects and tracks required documentation, including professional licenses, certifications, and food worker cards for new and existing employees. Prepare and distribute reports to supervisors and leadership of missing required documents. Processes reimbursements for professional licenses.
  • Performs Washington State Patrol background checks on new hires, student visitors, and 24/7 staff annually.
  • To ensure continued engagement, provide appropriate communication with new hires between the offer and the first day of employment. Ensures new hires have completed required onboarding checklists before the start date.
  • Completes Verification of Employment Requests and coordinates with Payroll Technician as needed.
  • Completes Forms I-9, verifies I-9 documentation, and maintains I-9 file compliance.
  • Manages agency-approved driving program by ensuring employees submit required documentation, including insurance information.
  • Monitors and orders department supplies.
  • Sorts mail and faxes, distributes to department in-boxes. Process mail and faxes, distributing and picking up department mail.
  • Other duties as requested and assigned.


Minimum Qualifications:

EDUCATION: High School Diploma or GED

EXPERIENCE: Entry Level (no experience required)

Preferred Qualifications:

EDUCATION: Bachelor's degree (In Human Resources, Training and Development, or Related Field)

EXPERIENCE: Experienced (2 years of job-related experience)
